Preparing Your Data
How to send your wells to PetroBench: fill in the well roster, upload your files to the secure upload room, and confirm the import.
Moving to PetroBench takes three steps:
- Fill in a well roster. One sheet with every well you want in PetroBench.
- Upload your files. Put the roster and your well files in a private upload room.
- Confirm the import. We import everything, and one person from your company checks and confirms it.
Your PetroBench contact sets up the upload room and sends you the link.
1. Fill In the Well Roster
The roster tells us which wells you have and how your team is organized. We use it to set up your regions, groups and wells.
Download a template and add one row per well:
Only two columns really matter:
| Column | What to enter |
|---|---|
well_name | The name your team uses for the well |
api_number | The API number. Dashes are fine |
Every row needs at least one of these. Fill in the rest if you have it:
| Column | What to enter |
|---|---|
region | The region, route or string the well belongs to |
group | The area or group inside the region |
lease, field, county, state | Location details |
region_lead_name, region_lead_email | The foreman or region lead |
engineer_name, engineer_email | The engineer for the well |
technician_name, technician_email | The field technician |
Your own column names usually work too. For example, API works for api_number, and route works for region.
2. Upload Your Files
Sign In
Open the link from your PetroBench contact, enter your work email, and click Email me a sign-in link. No password is needed. The link works once and expires after 15 minutes. If it expires, ask for a new one on the same page.
After you sign in, the steps on the left guide you through the room.
Add the Roster
In the Well roster step, upload your filled-in roster. PetroBench reads it right away and shows what it found: wells, regions and groups. It also flags rows to fix, such as a missing API number, a duplicate API number, or a name like TBD.
This step is optional. Click Skip for now to add it later. You can replace the roster any time before you submit.
Upload Your Well Files
Drag in whole folders or files, or click Upload a folder or Choose files. We keep your folder structure, and everyone in the room sees the same folders. We accept:
| File | What it is |
|---|---|
| .rsdx, .rsvx | RodStar designs |
| .inp6e, .inp7 | SRod simulations |
| .xlsx, .xls, .csv | Spreadsheets, such as surveys and production data |
| Vendor reports, such as fluid level shots | |
| .zip | Zip files of any of the above |
Other documents are welcome too. We keep them even if we cannot import them. Programs and scripts are blocked.
Put the well name in the file name when you can, for example Smith 1-12 design.rsdx. It helps us match the file to the right well.
Limits: 50 MB per file and 5,000 files per room. Need more? Ask your PetroBench contact.
If your connection drops, sign in again and drop the same folder. Files that finished are kept.
Invite Colleagues
Click Invite at the top of the room, enter a colleague's email, and click Send invite. Colleagues must use the same email domain as you. To add someone from another company, ask your PetroBench contact.
Submit
When all uploads are finished, open Review and submit. Check the summary, tick the confirmation box, and click Mark as complete.
After that the room is locked while we import your files. To add more files, click Ask to reopen. Your PetroBench contact reopens the room for you.
The room stays open for 180 days unless your PetroBench contact sets another date.
3. Confirm the Import
After we import your files, one person from your company confirms the result. Your PetroBench contact picks this person, called the signer. The signer sees an extra step: Acknowledge import.
- The signer opens the room and signs in.
- They check the import report. It shows wells without files and files that did not match a well.
- They type their full name, tick the confirmation box, and click Acknowledge.
We save a PDF copy of the report with the signer's name and the time. You can still edit your wells in PetroBench afterward.
