Sharing & Approval
How custom rods and pumping units move from personal to organization-wide in PetroBench: submit for review, an admin approves, and everyone can use it. Plus archive and restore.
A custom rod or pumping unit you create starts private to you. To let the rest of your organization use it, you submit it for review and an admin approves it. Rods and pumping units follow the same flow.

Only Org-approved equipment appears in other users' simulation selectors.
Share it with your organization
- Create the rod or unit. On save it's Personal: usable only by you.
- In Your Rods / Your Units, click Submit for review. It moves to Pending Review - you still see it, teammates don't yet.
- An admin opens the Pending Review tab and clicks Approve.
- It becomes Org-approved and everyone in the organization can select it.
The Pending Review tab is only visible to admins (users with permission to share all custom equipment, typically Region, Division, or HQ admins). Regular users can submit their own equipment but not approve.
Admins creating equipment can skip the round trip: the create dialog has a Publish as option (Personal, Pending Review, or Approved).
Manage shared equipment
Admins can also:
- Unshare - send an approved or pending item back to Personal, removing it from everyone's selectors. Simulations already using it keep working.
- Archive - remove it from all selectors while preserving it. The creator is notified.
- Restore - bring an archived item back to Personal or Org-approved.
Editing and deleting
- Editing an approved item flags any simulations that used it as changed, so you know to re-run them. Past results stay intact.
- Deleting shows how many wells and simulations reference the item first, so you don't remove something in use.
Who can submit vs approve is set by permissions and can be configured per organization. By default, any user can create and submit their own equipment; admins approve, unshare, archive, and restore.
